Date and Fee Review
Open registrations begin: June 1, 2026
New members registering for the 2026-2027 year (Sept.- Aug.) will pay the full annual fee of $295. Existing youth renewing on June 1 or later will pay $295 rate as well.
Open registration resumes: December 1, 2026
Members registering past this point will pay a pro-rated fee of $210 (Dec.- Aug.) for the remainder of the 2026-2027 year.

Communication to New Youth
It's important that our new members receive an acknowledgement of registration from their Group. Youth and their families want to know what to expect and feel very welcome to their Scouting experience.
It's best practice to have a welcome letter ready to send as each registration comes in. Your letter should include the following:
- A warm welcome
- "Meet the Scouters" (Name, Scouting nick name, and contact info. For our youngest members, a picture of Scouters can reduce jitters)
- How the Group communicates (links to social media or chat apps)
- Meeting information
- Any details on how the Group manages fundraising
- Uniforms/supplies
- Annual camps or events
- An open invitation for families to be involved
Scouter Renewal Reminder
Scouter renewal season is a great time to check in with your team:
- What was a great success that you had this year?
- What is something you learned?
- Do you have any suggestions for me, as GC, to improve on for our Group next year?
- Are you interested in returning to the same role?
- Is there a different role you would like to try, or even just learn about next year?
- These types of questions and check-ins will help you to plan for youthcapacity, as well as succession planning for the coming Scouting year.
Don't forget to do GCAP approval for renewed Scouters.
MyScouts Preparation for Groups
- Perform internal Youth Section Transfers to pre-set correct section for 26-27 renewal
- Volunteer role renewal & Youth Volunteers (registered by the Parent)
- Add additional volunteer role(s)
- GC Approval (GCap) for 26-27 volunteer roles
- Update meeting location/day/time and capacity via 'Edit Meeting Details' under Org Options
- Update Primary Contact Scouter details via 'Edit Organization Details' under Org Options
- Add 26-27 Group Fee if applicable

Capacity: What’s Scouts Canada doing to preserve 26-27space for existing Youth?
- One-time manual capacity reduction will be made on May 31 to Max Participants (Next Scouting Year) field to account for the number of existing youth with 2026 calendar year role as well as those who have already renewed for 2026-27.
- Updated logic will be in place to allow existing youth bypass capacity limits in order to renew for 2026-27 SY in the same Group.

Recommendations:
- Make internal transfers by May 31 to ensure that capacity calculation on May 31 is done based on the true # of youth intending to renew in that section.
- Avoid making capacity changes starting June 1, 2026. Increasing capacity after this date will raise the number of youth the section can accept for the 2026-2027 Scouting Year.
Waitlists
- Waitlists are non-functional between April 15 - May 31. Waitlist Processes will resume on June 1.
- If an existing youth trying to renew with their current Group and their preferred Section is full, there should be an option to waitlist.
- Note: once a Group raises capacity in that section (between April 15 - May 31), parent will NOT receive waitlist invitation, they will simply need to log in and register in JOIN.
- Waitlists shuffle will be completed by May 31. Youth who have aged up will be moved to the next Section’s waitlist or removed from the waitlist if next section up has space.
- New members will be able to waitlist starting June 1.
